Manage and Override Employee Shifts in greytHR Admin Portal

Assigning and overriding shifts is crucial for managing employee work hours effectively in daily operations. It helps ensure proper coverage, adapt to changing needs, and maintain productivity. By doing so, organizations can streamline scheduling, promote flexibility, and efficiently manage their workforce.

The Shift Roster page in the greytHR Admin portal provides the admin an overview of the existing shift plan of the employees. The page allows to override the currently scheduled shifts and make strategic decisions such as leave approvals and shift assignments. The changes made on this page reflect throughout the Attendance module. You can view the legends at the bottom of the page displaying their respective numbers.

If multiple attendance cycles (calendars) exist, use the Select Month and Select Attendance Cycle dropdowns to view details on the Shift Roster page based on your selection.

To view the Shift Roster page, from the greytHR Admin portal, hover over the 9 dots and go to Leave and Attendance > Information > Shift Roster.

You can perform the following actions on the Shift Roster page:

  1. View and override employees' shift schedules.

  2. Download shift details.

View and override employees' shift schedule

To override the employees’ existing shift schedule, from the greytHR Admin portal, hover over the 9 dots and go to Leave and Attendance > Information > Shift Roster.

  1. On the Shift Roster page, using the Employee, Category, and Month dropdown filters, customize your search. The page displays the customized list of employees with their shift details.
    Note: While creating a shift on greytHR, a number is assigned for each shift automatically. You must use these numbers to override the shifts.

  2. Under the Employee column, click on the respective cell and enter the associated letter as mentioned in the legend at the bottom of the page. You can view the changes on the shift as per your requirements.

  3. Click the Refresh icon to update the details on the page.

Note: 

  • An employee receives an email notification when the admin/manager changes the shift.

  • While you are overriding any backdated shift information, ensure to process the attendance manually for those days.

  • Before processing the attendance, ensure that the attendance is not locked for this period.

Download shift details 

To download the employees’ existing shift schedule, from the greytHR Admin portal, hover over the 9 dots and go to Leave and Attendance > Information > Shift Roster.

  1. On the Shift Roster page, use the Employee, Category, and Month dropdown filter to customize the employee list.

  2. Click Excel Export. The report downloads in Excel format.
