Assign Attendance Scheme to Employees Using greytHR

In a workplace, an attendance scheme outlines guidelines for tracking employee attendance, such as the use of time clocks, electronic systems, or manual sign-in sheets. It can establish policies regarding punctuality, leave requests, and absenteeism, including procedures for reporting and documenting absences.

The Attendance Scheme page in the greytHR Admin portal helps you as an admin to assign an attendance scheme as per your requirements to the employees. Previously, the attendance policy was applicable based on the attendance scheme. Currently the attendance policy is based on the shift assigned to the employees. You can create one attendance scheme and configure attendance policy for both general as well as split shift. The policy rules will be applicable based on the employees' shift.

To view the Attendance Scheme page, navigate to the Settings icon > System Settings > Attendance > Attendance Scheme.

On the Attendance Scheme page, you can assign the appropriate attendance scheme to:

  1. Regular shift employees.

  2. Split shift employees.

Assign attendance scheme to regular shifts employees

To assign an attendance scheme for regular shifts employees, perform the following actions:

  1. From the greytHR Admin portal, navigate to the Settings icon > System Settings > Attendance > Attendance Scheme.

  2. On the Attendance Scheme page, click + Add Attendance Scheme. A form opens.

  3. In the Scheme Name text box, enter the attendance scheme name.

  4. Using the Auto Detect Shift and Shift Rotation button, select the Shifts and Shift Rotation Policy as per your requirements.

  5. From the Shift Rotation Policy dropdown list, select the appropriate shift rotation policy.

  6. From the Weekend Policy dropdown list, select the appropriate weekend policy.
    Note: You can edit a weekend policy using the Edit icon next to the Weekend Policy dropdown list.

  7. In the Swipe Capturing Method dropdown list, select the required swipe capturing method from the results. 

  8. From the Selfie Verification Method dropdown list, select the swipe verification method for collecting employee swipes.

  9. In the Attendance Location Selection while dropdown list, enter the required swipe capturing method. 

  10. From the Actual Hour Computation dropdown list, select the logic for computing the actual hours.

  11. From the Attendance Policy dropdown list, select the appropriate attendance policy.

  12. From the Employee Filter dropdown list, select the required employee filter.
    Note: You can add a new employee filter by clicking + Add New Filter icon.

  13. Click Save. A success message appears. The scheme is then assigned to the selected employees based on the selected filter. 

Note: Click the Edit icon on the required card to modify the details of an existing attendance scheme.

Assign attendance scheme to split shift employees

To assign attendance scheme to split shift employees, perform the following actions:

  1. From the greytHR Admin portal, navigate to the Settings icon > System Settings > Attendance > Attendance Scheme.

  2. On the Attendance Scheme page, click + Add Attendance Scheme. A form opens.

  3. In the Scheme Name text box, enter the attendance scheme name.

  4. Select the Auto Detect Shift/Shift Rotation option as per your requirements.

  5. From the Shift Rotation Policy dropdown list, select the appropriate shift rotation policy.

  6. From the Weekend Policy dropdown list, select the appropriate weekend policy.

    Note: You can edit a weekend policy using the Edit icon next to the Weekend Policy dropdown list.

  7. In the Swipe Capturing Method dropdown list, select the required swipe capturing method from the results.

  8. From the Selfie Verification Method dropdown list, select the swipe verification method for collecting employee swipes.

  9. In the Attendance Location Selection While dropdown list, enter the required location type.

  10. From the Actual Hour Computation dropdown list, select the logic for computing the actual hours.

  11. From the Attendance Policy dropdown list, select the appropriate attendance policy.

  12. From the Attendance Policy For Split Shift dropdown list, select the appropriate attendance policy for the split shift.

    Note: This option will be available only if the split shift functionality is enabled.

  13. From the Employee Filter dropdown list, select the required employee filter. Note: Click the + icon to create a new Employee Filter.

  14. Click Save. A success message appears. The scheme is then assigned to the selected employees based on the selected filter.

After assigning attendance scheme for split shift employees, you can view and override the split shift information as an admin and manager.
