A performance improvement plan letter is an official HR document used to notify an employee that their current work performance is below acceptable standards. It outlines specific areas for improvement, measurable goals, and a set timeline — usually 30, 60, or 90 days — to achieve them.

PIP Warning Letter

Key Tips: DOs and DON'Ts for PIP Letters

DOs

  • Be Specific: Vague goals like "improve communication" cannot be measured. Use quantifiable metrics like "respond to all client emails within 4 hours."
  • Schedule Regular Check-ins: A PIP is not a set-it-and-forget-it document. You must actively monitor progress.
  • Get a Signature: Always have the employee sign the initiation PIP letter to acknowledge they understand the expectations and consequences.

DON'Ts

  • Don't Use a PIP Just to Fire Someone: A PIP should be a genuine attempt to save the employee. If you have already decided to terminate them, bypass the PIP and use a standard termination process.

FAQs on PIP Letter Format

Is a PIP letter a precursor to termination?

Not necessarily. While a performance improvement plan termination letter is the final step if the employee fails, the primary goal of a PIP is genuinely to help the employee improve and retain their job.

Can an employee refuse to sign a PIP letter?

An employee can refuse to sign, but this does not invalidate the PIP. HR should simply note on the document "Employee refused to sign," date it, and have a witness (like another manager) sign to verify that the pip letter was delivered.

How long should a PIP last?

A typical PIP lasts between 30 to 90 days. The timeline should be realistic; you cannot expect an employee to completely overhaul their performance or close major deals in just one week.

What happens if performance drops again after the PIP is closed?

If an employee receives a performance improvement plan closure letter but their performance deteriorates again shortly after, the company is usually not required to issue a second PIP and may proceed directly to termination.
